Minute Taker
Job Description:
Reports to: The Head of Administration in the Corporate Secretary’s Department.
Responsibilities:
- Attend meetings of Makivvik’s governing bodies (travelling required);
- Develop meeting agendas with the various departments of Makivik Corporation;
- Assist in creating meeting agendas and documents in DiliTrust, send notifications and update DiliTrust as required;
- Set up Zoom meeting, host, and record meetings;
- Take accurate record of what is discussed, and any actions raised;
- Produce accurate Corporate Meetings Minutes in standardized format from notes taken and/or recordings;
- Liaise with executives and/or senior managers for clarification, as needed;
- Submit draft Corporate Meeting Minutes to supervisor for review no later than the end of the 3rd day following the meeting unless otherwise agreed upon;
- Ensure confidentiality of all meeting materials and discussions;
- Update and circulate Action Items for follow up;
- Keep record of finalized minutes and resolutions;
- Distribution of finalized documents in due time;
- Ensure the proper filing of official Corporation’s documents;
- Assist supervisor in the development and maintaining of a proper filing system in Kuujjuaq and Montreal office;
- Be available to travel, as requested;
- Perform other related duties within the scope of the position or as requested by supervisor.
Qualifications:
- College diploma, or vocational diploma in minute taking studies, or a minimum of 2 years of relevant experience;
- Effective communication skills in at least two (2) of the three (3) languages: Inuktitut, English and/or French;
- Have solid practical Computer skills in basic computer software (Microsoft Outlook, Word, Excel, PowerPoint, DiliTrust, etc.);
- Knowledge of specific subjects related to the Corporation and its subsidiaries (as needed);
- Ability to meet deadlines, ability to work under pressure;
- Ability to work independently;
- Organized, reliable and able to deal with confidentially of information;
- Ability to collaborate and take initiative;
- Ability to work under pressure and within deadlines;
- Strong organizational and time management skills;
- Communication, analytical and organizational skills;
- Able to set priorities while maintaining flexibility;
- Self-motivated and able to work in unique environment;
- Ability to work independently, also a great team player with excellent interpersonal skills;
- Security clearance is required.
