Executive Assistant
Job Description:
Reports to: The Corporate Secretary.
Responsibilities:
- Assists with department mandates, programs administrative matters including the budget;
- Able to take minutes;
- Provide assistance in supervision and leadership to ensure the responsibilities of all staff in the department are carried out, when necessary;
- Provide assistance in performance evaluation, vacation approval and feedback for all staff of the department, when necessary;
- Attend weekly meetings of the Executives of Makivik and follow up on the Department’s action items as mandated;
- Assist the Corporate Secretary in all corporate duties;
- Work closely with the Corporate Secretary in both political and administrative functions of the Department;
- Coordinate the activities of the Corporate Secretary with all relevant government departments, regional and local organizations and other Makivik departments;
- Active files management;
- Oversee the administrative and daily activities of the office of the Corporate Secretary;
- Draft and receive correspondence on behalf of the Corporate Secretary;
- Organize meetings, schedule conference calls when needed;
- Coordinate the administrative responsibilities with individuals in the Corporate Secretary’s department;
- Prepare presentations requested by the Corporate Secretary as needed;
- Create, update and review reports and budgets;
- Coordinate special events logistics;
- Following up on meeting action items with the Corporate Secretary;
- Assist on various projects;
- Participate in committee meetings requested by the Corporate Secretary;
- Be available to travel, as requested;
- Perform other related duties within the scope of the position or as requested by supervisor.
Qualifications:
- Bachelor Degree or any combination of experience and training deemed equivalent;
- Minimum of five (5) years of experience;
- Good communication skills in at least two (2) of the three (3) languages: Inuktitut, English and/or French;
- Good knowledge of Microsoft Office (Word, PowerPoint, Excel, etc.);
- Strong interpersonal skills, sound judgement and excellent work ethic;
- Ability to work independently and in a team setting;
- Reliable and punctual.
Training will be available for Beneficiaries in the advancement for their career.
