Senior Administrative Assistant in Business Development

Job Description:

Reports to:                                      The Director of Business Development in the Economic Development Department

Responsibilities:

  • Assist the Director of Business Development in supervising staff, managing departmental projects, files, and programs.
  • Follow up on action items from Executive and senior management meetings and assist the Director with incoming and outgoing communications, including email, phone correspondence, and reporting.
  • Conduct research and prepare background materials to support the Director’s participation in meetings.
  • Maintain organized records of key departmental documents, such as reports, minutes, emails, and correspondence.
  • Oversee and provide administrative support to other staff reporting to the Director.
  • Assist the Director with administrative duties related to contractors and consultants in the field of economic and business development.
  • Maintain the Director’s calendar and ensure schedules are current and accurate.
  • Organize and prepare documentation and materials required for meetings.
  • Manage task workflows and maintain an updated task management system for departmental staff.
  • Coordinate logistics for meetings and events led by the Director.
  • Prepare PowerPoint presentations and briefing materials as requested.
  • Participate in and, when required, represent Makivvik at meetings and committees involving local, regional, Inuit, and other Indigenous governments, organizations, and partners.
  • Organize and coordinate both in-person and virtual meetings or conference calls under the Director’s direction.
  • Create, update, and maintain spreadsheets, databases, and tracking tools as needed.
  • Collaborate with staff on special projects, providing administrative and coordination support.
  • Perform other related duties within the scope of the position or as requested by the supervisor.
  • Be available to travel, as requested.

Qualifications:

  • University degree (Bachelor’s) in a relevant field.
  • Minimum of five (5) years of experience in administration, corporate management, or another related field.
  • Strong proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent skills in report writing, project proposal preparation, and funding application development.
  • Demonstrated management and organizational abilities, with the capacity to prioritize multiple tasks effectively.
  • Strong interpersonal and communication skills, both written and verbal.
  • Detail-oriented with strong time management and multitasking abilities.
  • Ability to work independently while contributing to a collaborative team environment.
  • Familiarity with Inuit culture, values, and the Arctic environment considered an asset.
  • Professionalism, discretion, and a high degree of confidentiality in handling sensitive information.
  • Effective communication skills in at least two (2) of the three (3) languages: Inuktitut, English and/or French.
  • Effective Computer skills: Microsoft Suite (Excel, Word, PowerPoint, etc.);
  • Security clearance is required.
