Receptionist

Job Description:

Reports to:                                      Corporate Administrator

Responsibilities:

  • Operate switchboard in the St. Laurent Office;
  • Receive visitors and answer telephone calls in a pleasant fashion;
  • Place long distance calls when required, including three-way calls;
  • Prepare messages and forward them to the appropriate person;
  • Sort and route incoming mail;
  • Affix postage to the outgoing mail and take it to the mailbox
  • Open and prepare the Kuujjuaq/Montreal mail pouches;
  • Assign waybill numbers and maintain records of assigned waybills
  • Assign purchase orders and maintain records of assigned POs with budget codes
  • Maintain staff daily attendance records;
  • Send and receive fax messages;
  • Maintain proper operation of fax and mail machines;
  • Type correspondence on computer when required;
  • Prepare waybills with the assistance of the messenger;
  • Keep the reception area clean and attractive;
  • Maintain the stock room and advise the purchaser when an order needs to be placed;
  • Help prepare coffee and tea for various meetings;
  • Keep the refrigerators stocked with milk & cream and advise the Corporate Administrator when an order needs to be placed;
  • Assist with the preparation of meeting binders
  • Other duties from time to time as deemed necessary by the department head

Qualifications:

  • High School Diploma;
  • Two (2) years of relevant experience;
  • Good communication skills in at least two (2) of the three (3) languages: Inuktitut, English and/or French;
  • Friendly, efficient and intuitive;
  • Good knowledge of Microsoft Office and willingness to learn other applications;
  • Ability to operate various office equipment; fax machine, photocopier/scanner, label maker;
  • Understanding and knowledge of Nunavik Inuit Culture, society and language , is important;
  • Punctual and dependable;
  • Organized, reliable and able to deal with confidential information;
  • Ability to meet deadlines, ability to work under pressure;
  • Available and willing to participate in any required training.
